Your Responsibilities
The Executive Assistant provides administrative support to our Reinsurance Sales Professionals by managing calendars, making travel arrangements, setting up meetings, completing expense reports, and other assigned duties.
- Prepare a variety of correspondence, reports, spreadsheets, and other documents, ensuring proper format, grammar, spelling, and punctuation
- Receive, read, and is proactive in handling the daily mail, paying particular attention to items requiring immediate attention. Prepare outgoing mail and special mailings as assigned
- May answer and handle telephone calls for Producers when they are out of the office, as appropriate
- Prepare check requests and maintain commission spreadsheets
- Responsible for all expense report related activities such as receipt collection and follow-up, preparation and submission of expense reports, and credit card billing reconciliation
- Maintain calendars and schedule meetings and appointments, as requested. Arrange for meeting rooms, food/beverages, lunch reservations, etc., as necessary
- Arrange all phases of travel for Producers; maintain records, itineraries, and travel credits
- Coordinate registration requirements for meetings/conferences
- Maintain client/prospect database
- Interact with and coordinate the completion of assignments and projects with other associates, as appropriate
- Create and maintain files of correspondence and other records, processing files for dead storage, as necessary
- Interact with and coordinate the completion of assignments and projects with other associates, as requested
- Make a positive contribution to customer satisfaction and continuously strive to improve service to the customer
- Communicate positively to contribute to a cohesive, pleasant work environment
- Comply with Lockton procedures and policies
- Perform other work-related duties as assigned
Qualifications
Qualifications:
- Bachelor’s degree in a business-related program or equivalent education and/or experience preferred
- Three to five years of previous administrative and/or sales support experience supporting a minimum of two individuals required
- Proficiency in the use of Microsoft Word, Excel, and Outlook required; PowerPoint desired
- Strong attention to detail required
- Must have strong verbal, written, and interpersonal skills to interact with clients, project team members, and associates at all levels of responsibility, representing Lockton in the highest professional manor
- Organizational and time management skills to prioritize workload and meet deadlines required Must be results-oriented with the ability to change priorities as needed
- Ability to comply with all company policies and procedures, proactively protecting the confidentiality of client and company information
- Must have the ability to work independently and use good judgment in recognizing scope of authority and urgency
- Demonstrated ability to follow through promptly on tasks to their completion
- Legally able to work in the United States
