Your Responsibilities
The Business Administrator will provide administrative support to various Producers and Unit Managers. This role is currently hybrid with remote and in-office days.
RESPONSIBILITIES INCLUDE:
- Provide administrative support to various Sales Producers and Unit Managers.
- Keeps calendar of appointments and suspense systems for producers as requested.
- Meet regularly with Producers and Unit Managers to receive and provide updates on assignments and projects.
- Composes and prepares a variety of correspondence, reports, and internal documents in support of new business development activities.
- Perform data entry of contacts/prospects and perform mail merges for marketing mailings.
- Conduct follow-up calls to ensure information was received.
- Receives, reads, and is proactive in handling daily mail and email as directed by producers and unit managers; initiates action on items requiring immediate attention.
- Maintains files of correspondence and other records.
- Travel Coordination – Arrangement and coordination of all phases of travel including flights, hotel, car service, and other travel related tasks; Outlook calendar updates with travel information; Tracking of travel records and itineraries; Travel credit tracking.
- Expense Processing – Responsible for all expense report related activities including tasks such as: receipt collection and follow up; preparation and submission of expense reports; and corporate credit card billing reconciliation.
- Meeting & Event Coordination – Schedule and arrange internal and external meetings utilizing email and appointments via Microsoft Outlook.
- Coordinate special events including catering setup, guest coordination, AV needs, and clean-up coordination after events.
- Backup Receptionist – Answer and screen incoming calls, field and answer questions, refer callers to appropriate associate, or take messages. Ability to run and coordinate reception desk as needed.
- Protects the confidentiality of information learned by performing the duties of the position.
- Print Services backup – Act as resource for print/binding needs of Producers, Unit Managers, and associates. Also provide general print support during urgent situations and high-volume periods as workload permits.
OTHER RESPONSIBILITIES
- May perform public relations work for producers and unit managers, including coordinating special events, luncheons, and seminars.
- Coordinates the purchase and distribution of holiday gifts for clients and greeting card mailings.
- May attend client/prospect meetings or social events with Producers and Unit Managers to assist as requested.
- Provide technical writing support for blog updates, various social media, and online sites in support of Producer activity.
- May be some minimal personal assistance for producers when requested.
Qualifications
REQUIREMENTS:
- Associate degree in a business-related field or equivalent education/experience preferred.
- Two to four years of previous administrative and/or sales support experience.
- Strong verbal, written, analytical and interpersonal skills.
- Organizational and time management skills to prioritize busy workload to meet time sensitive deadlines.
- Ability to multi-task with ability to respond and refocus quickly.
- Demonstrated ability to instill confidence and comfort with co-workers.
- Ability to make decisions in compliance with established company standards of quality performance and service.
- Appropriately assertive personal presence to interface with clients, associates, and other individuals, in both one-on-one and group situations; represent Lockton in the highest professional manner.
- Strong value of service to others.
- Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint, and Access.
- Advanced skills with email and calendar systems such as Outlook.
- Experience with internet, including knowledge of LinkedIn, Facebook, and other social media for the purposes of professional networking.
- Firm, fluent grasp of the English language with high-level verbal, written, listening, and interpersonal skills to interact with associates at all levels.
- Legal right to work in the United States.
