Your Responsibilities
As Lockton’s Transaction Liability (TL) practice continues to expand globally, we are seeking an Executive Assistant (EA) to provide high-level administrative and organizational support to the TL leadership team.
You will be accountable for the smooth coordination of meetings, travel, client engagement logistics, and executive calendars. You will play a critical role in enabling efficient operations and ensuring the team delivers a consistent, high-quality experience to clients and internal stakeholders globally.
Key Tasks & Duties
• Arrange both domestic and international travel (including visas, flights, ground transportation, and accommodation)
• Coordinate off-site team meetings (venues, logistics, IT setup, catering, and materials)
• Support the planning and execution of TL client events and global team engagements
• Liaise with brokers, clients, underwriters, and their assistants to coordinate meetings, conferences, and client hospitality
• Coordinate TL leadership and executive meetings
• Maintain strong awareness and management of executive calendars and priorities
• Support onboarding logistics for new TL hires
• Act as a central point of contact for administrative problem-solving within the TL team
• Assist with complex administrative tasks across a fast-paced deal environment
• Maintain key team records (e.g., org charts, tracking documents, reporting logs)
• Ensure adherence to Lockton procedures, compliance standards, and best practices
• Support coordination of team initiatives, including culture and engagement activities
• Assist with office coordination where applicable (workspace setup, supplies, document management)
Qualifications
• Strong written and verbal communication skills with the ability to interact professionally with senior stakeholders, clients, and insurers
• Exceptional organizational and time management skills with the ability to prioritize effectively in a high-demand environment
• Strong project management capability and attention to detail
• Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Problem-solving mindset with the ability to anticipate needs and proactively deliver solutions
• High level of discretion and confidentiality
• Self-motivated, proactive, and adaptable in a dynamic environment
• Demonstrate flexibility and adaptability in a fast-paced environment
• Identify and implement opportunities for operational improvement
• Maintain high standards of quality and accuracy
• Ensure compliance with legal and regulatory requirements
• Develop understanding of Transaction Liability operations, workflows, and stakeholder needs
• Build knowledge of internal systems and processes to maximize efficiency and effectiveness
