Your Responsibilities
The Executive Assistant (EA) is a strategic business partner to Producers and key business leaders, serving as a force multiplier for time, focus, and revenue‑generating activity. This role goes beyond traditional administrative support to actively optimize workflows, surface insights, and enable leaders to operate at their highest and best use.
Leveraging advanced digital tools, automation, and AI‑enabled workflows, the EA anticipates needs, filters priorities, and translates information into action. The EA is trusted with confidential information and operates as an extension of the Producer’s judgment, brand, and business strategy. The ideal candidate is business‑minded, tech‑forward, and highly proactive, thriving in a fast‑paced, relationship‑driven environment.
Position responsibilities
Strategic Time, Calendar and Workflow Optimization
Utilize CoPilot for proactively monitor email inboxes, flagging items that require immediate attention and responding on behalf of the Producer / leader when appropriate.
Prepare agendas, compile necessary documents and ensure the Producer is well-prepared for meetings. Collect action items following meeting and drive action for applicable items.
Arrange for meeting rooms, food/beverages, lunch reservations, etc., as necessary.
Arrange all phases of travel for Producers; maintain records, itineraries, and travel credits
Actively manage calendars to efficiently align with revenue driving activities and strategic priorities.
Serve as a strategic gatekeeper for meeting requests, applying judgment to prioritize, redirect, or decline based on business impact.
Lead weekly team meeting with applicable stakeholders. In preparation, capture, synthesize, and track action items following meetings, driving timely execution and accountability.
Continuously assess and improve workflows to eliminate friction and increase effectiveness.
Communication and Decision Support
Act as a trusted communication bridge between Producer / Leader and internal/external stakeholders, ensuring clarity, professionalism and responsiveness.
Curate information into concise, executive-ready insights that support informed decision making.
Anticipate questions, risks or follow-ups before they surface and proactively provide context or solutions.
Draft, review and proofread high-quality communications including emails, memos, reports and presentations
Manage drafting and posting of “Lockton Wins” announcements
Support Producer marketing initiatives (i.e., LinkedIn, newsletters, etc.)
Event and Relationship Experience Management
Plan and support events, conferences and client engagements with a focus on experience quality and business outcomes
Take a proactive approach to understanding client profiles, preferences and touchpoints to maximize relationship-building opportunities
Provide on-site support for events as needed
Coordinate non-profit / board responsibilities as requested (i.e., agendas, RSVPs to meetings, etc.)
Curate and coordinate logistics for client gifts, team appreciation outings and other touchpoints for internal / external stakeholders
Data, CRM and Financial Insight Support
Maintain and enhance client and prospect data within Salesforce, ensuring accuracy and usability
Leverage CRM and financial data to surface insights, follow-ups, and risk indicators for Producer attention
Review accounts receivable monthly and proactively coordinate with account teams on aged receivables
Support accounting-related activities, including expense submissions, bill pay, capital accounts, commission statement reconciliation and related documentation.
Create and maintain files of correspondence and other records, processing files for dead storage, as necessary

Qualifications
Position qualifications
Bachelor’s degree in a business-related program or equivalent education and/or experience preferred
A minimum of three to five years of previous administrative and/or sales support experience
Proficiency in the use of Microsoft Office suite
Strong attention to detail required
Must have strong verbal, written, and interpersonal skills to interact with clients, project team members, and associates at all levels of responsibility, representing Lockton in the highest professional manor
Exceptional organizational and time management skills to prioritize workload and meet deadlines required
Must be results-oriented with the ability to be adaptable and proactive
Must be able to handle confidential information with discretion and trust
Ability to comply with all company policies and procedures, proactively protecting the confidentiality of client and company information
Must have the ability to work independently and use good judgment in recognizing scope of authority and urgency
Demonstrated ability to follow through promptly on tasks to their completion
Legally able to work in the United States
