Your Responsibilities
Summary: We are seeking a professional, self-motivated individual who is interested in providing office support for a fast-paced privately held independent insurance brokerage firm services firm. This position is for someone who thrives working in a dynamic, changing environment and is eager to contribute to a growing office. As the primary day-to-day office contact, the Operations Assistant must be customer service-oriented, dependable, flexible, and have a willingness to learn. This position will be the main POC for supporting within our operations team for NY such as events, front of house, catering etc.
Responsibilities:
- Handle organizational and office support tasks
- Respond to and assist with Associates’ requests
- Work as on-site contact for service technicians and vendors
- Manage all office equipment (printers, copiers, postage machines, etc.)
- Maintain conference rooms and common areas
- Relieve and coordinate receptionist for breaks and days off - answer phones, greet visitors, reserve conference rooms, add guests to security visitors’ list
- Maintain supply inventory
- Mail management:
- Manage incoming packages
- Handle outgoing mail (USPS, FedEx)
- Printing/binding documents when needed
Administrative Support
- Provide light administrative support while covering other team members such front desk support
- Place catering orders as requested by associates of Lockton
Building Services
- Liaise with property management/building engineers for office needs and service requests
- Check all three floors and report necessary work orders including restrooms
- Communicate with building for vendor visits and COI requirements
IT/AV
- Work alongside onsite IT associate
- Liaise with onsite IT and possible center IT team members to trouble shoot conference rooms and other AV needs
Facilities Management
- Maintain inventory of breakroom supplies and restock daily as needed
- Maintain inventory of main executive conference area
- Manage and maintain all Workstation and offices
- Maintain and restock all office supplies in dedicated areas
- Remove and break down empty boxes; leave in freight hall
- Keep unassigned areas clean such as workstations, conference rooms and offices.
- Provide General Maintenance: Perform minor repairs and maintenance tasks as needed
- Flip and set up future training room on 21st floor for meetings as requested
- Install office name signs
- Conduct walk throughs on all floors on a daily basis to maintain office aesthetic and cleanliness
- Tag furniture for repair, make basic adjustments.
Qualifications
- Minimum high school diploma required
- Minimum three (5) years’ experience as an office services/administrative professional or college graduate with prior office work experience
- Working knowledge of Microsoft Suite
- Proficient in the use of technology (i.e., tech-savvy)
- Ability to manage multiple projects and requests with interruptions
- Ability to follow oral and written instructions
- Ability to write and communicate clearly
- Should have a pleasant attitude with strong communication skills
- Should be a self-starter who can work independently with minimal oversight
- Should have good organizational skills
