Your Responsibilities
This position is responsible for maintaining general office amenities and conference/meeting rooms; servicing internal and client/vendor meetings (including catering); and supporting larger company-sponsored events. Will be responsible for trouble shooting any technical issues that arise before and during all meetings. This position also provides support for other office service functions as necessary.
Job Responsibilities
General office amenities
• Daily inspection of mail rooms, kitchens and meeting/conference rooms
• Ensure all hospitality & office support items are appropriately stocked in all shared areas (coffee, tea, creamer, sugar, etc., as well as supplies such as utensils, paper towels, cleaning supplies, etc.)
• Order all hospitality items as necessary
• Ensure kitchens are clean and organized (including loading and unloading all dishwashers)
Conference/meeting rooms
• Set up conference rooms for meetings as directed, including evening events
• Stock items as needed and relay conference room concerns to the appropriate party
• Trouble shoot any technical issues with mechanical blinds and screens, along with problems pertaining to video conferencing
Meeting support & catering
• Adequately plan for all catering requirements as requested for meetings
• Order food and accept food deliveries as requested for meetings
• Timely prepare rooms to serve meals during meetings
• Effectively communicate any issues to the impacted parties
• Refresh beverages throughout meetings as requested
• Be available to support breakfast, lunch and evening meetings
• Maintain caterer contact information
• Be available for trouble shooting technical issues
Event support
• Be available to support larger company-sponsored events as requested by Event team/Associates
Other responsibilities
• Provide backup support to other areas of office services as workload allows
• Work short-notice overtime as needed
• Communicate clearly to the IT department any problems that are beyond your capability
Qualifications
Job Competencies
• High school diploma or equivalent education
• Previous office hospitality experience preferred, but not required
• Experience with Microsoft products
• Ability to communicate clearly and effectively
• Ability to multitask effectively
• Ability to troubleshoot technical issues during meetings
• Ability to set priorities and follow through assignments with minimal supervision
• Physical ability to lift materials, boxes and other items weighing up to 50 pounds
• Physical ability to stand, walk and/or sit for prolonged periods
